This role handles the administrative, compliance, and vendor coordination work that keeps our fleet running safely, legally, and efficiently.<div style="margin-top:0;margin-bottom:0;"> </div>What You’ll Do<ul style=""><li>Maintain accurate fleet records including vehicles, maintenance schedules, compliance documentation, and checkout forms</li><li>Monitor weekly driver inspection reports, ensure they're completed on time, and follow up on findings</li><li>Review PM schedules, create work orders, and coordinate maintenance and repairs with vendors to minimize downtime</li><li>Manage insurance claims from first notice through resolution, coordinating with providers and repair shops</li><li>Track fleet damage incidents and compile regular fleet reports</li><li>Monitor fuel card activity for alerts and policy violations; process fuel card and toll bill payments on schedule</li><li>Maintain registration records, coordinate driver inspections required for renewals, and order and install license plates, toll tags, and telematics devices as needed</li><li>Review telematics data in Samsara to identify policy violations (speeding, mobile phone use, etc.), assign coaching sessions, and track completion</li></ul><div style="margin-top:0;margin-bottom:0;"> </div>What You'll Bring<ul style=""><li>2+ years in fleet administration, logistics, or operations coordination</li><li>Experience with a fleet management system — Fleetio and Samsara preferred</li><li>Strong organizational and follow-up skills with the ability to manage multiple vendors and deadlines simultaneously</li><li>Comfortable with bill payment, invoice reconciliation, and financial recordkeeping</li><li>Familiarity with state vehicle registration processes and insurance claim coordination</li><li>Prior work with fuel card programs (WEX, Fuelman, or similar) is a plus</li><li>Knowledge of DOT inspection requirements is a plus</li></ul><div style="margin-top:0;margin-bottom:0;"> </div>About the TeamField Operations is Base Power’s boots on the ground, acting as the driving force behind our physical footprint and real-world execution.
