Working closely with the Group Events Manager, you will support the planning and delivery of a range of internal and external events, developing your skills and experience in this area over time.We are looking for a detail-oriented and dependable individual with a effective service mindset, who is keen to build a career in administrative support with the opportunity to grow into event coordination.Role ResponsibilitiesDiary and Schedule Management<ul><li>Efficiently coordinate and manage the calendars of senior team members, ensuring optimal use of their time.</li><li>Organise meetings, appointments, and conference calls, handling all logistical details with precision.</li><li>Prepare and distribute agendas, minutes, and follow-up actions to ensure seamless meeting execution.</li></ul>Event Administration and Coordination<ul><li>Support the Group Events Manager with the coordination and delivery of corporate events, including conferences, internal meetings, and external engagements.</li><li>Assist with event administration tasks such as maintaining attendee lists, managing registrations, preparing name badges, coordinating materials, and supporting on-the-day logistics.</li><li>Liaise with venues, suppliers, and internal stakeholders to support event planning activities.</li><li>Ensure accurate tracking of event details, timelines, and budgets.</li><li>Opportunity to take on increased responsibility for smaller events over time as experience develops.</li></ul>General Administrative Support<ul><li>Manage incoming and outgoing communications, including emails, phone calls, and correspondence, with professionalism and discretion.</li><li>Maintain organised departmental files and records, ensuring easy access to critical information.</li><li>Prepare polished reports, presentations, and documentation that support the team’s strategic objectives.</li></ul>Travel and Logistics Coordination<ul><li>Arrange detailed travel itineraries, including accommodations, transportation, and schedules, ensuring all plans align with company policies and budgets.</li><li>Proactively resolve any travel-related issues to ensure smooth journeys for team members.</li></ul>Communication and Stakeholder Engagement<ul><li>Serve as a central point of contact for internal and external stakeholders, fostering positive relationships.</li><li>Facilitate clear and efficient communication within the Corporate Affairs team and across other departments.</li></ul>Ad-Hoc Support<ul><li>Provide administrative and coordination support for projects and initiatives as required.</li><li>Take ownership of assigned tasks and deliver to a high standard within agreed timelines.</li></ul>Experience / CompetencesEssential<ul><li>Proven experience in an administrative or team support role, ideally supporting senior leadership.</li><li>Experience in event coordination, inclusive of event administration (e.g. name badges, attendee lists etc.).</li><li>Strong organisational skills with the ability to manage multiple tasks, prioritise effectively, and meet tight deadlines.</li><li>Excellent written and verbal communication skills, with a professional and approachable demeanour.</li><li>Experience coordinating complex diaries, meetings, and travel arrangements.</li><li>Strong attention to detail and accuracy in all tasks, including document preparation and record management.</li><li>Ability to handle confidential information with discretion and maintain a high level of professionalism.</li><li>Demonstrated ability to work both independently and collaboratively in a fast-paced environment.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.</li></ul>Desired<ul><li>Exposure to event administration or coordination (e.g. assisting with events, managing attendee lists, or supporting logistics).</li><li>Interest in developing a career within event coordination or corporate functions.</li><li>Familiarity with travel booking or scheduling tools.</li><li>Exposure to working with internal and external stakeholders at various levels of an organisation.</li></ul>Job Band &amp; Level<ul><li>Support / 3</li></ul>#LI-Hybrid #LI-ASONot The Perfect Fit?Concerned that you may not meet the criteria precisely?
