This position is required to work on-site 5 days a week.</div><h2>What we do: </h2>The Lead Benefits Specialist serves as the subject matter expert (SME) for the day-to-day administration and compliance of all employee benefit and leave of absence programs. This position ensures operational excellence, data integrity, and adherence to federal and state regulations while delivering exceptional employee support. The Lead Benefits Specialist manages the full cycle of benefits and LOA operations — including enrollments, audits, reporting, vendor oversight, and compliance filings — while providing analytical insight to support ongoing process improvements. The role partners closely with Payroll, HR Operations, and Total Rewards to maintain accurate systems, efficient workflows, and a seamless employee experience<h2>What you can do:</h2>Benefits Administration &amp; Operations <ul><li>Oversee the daily administration of medical, dental, vision, life, disability, FSA, HSA, COBRA, and retirement plans</li><li>Manage new hire enrollments, life event changes, and terminations with accuracy and timeliness in HRIS and with carriers</li><li>Conduct regular audits and reconciliations between HRIS, carrier files, and payroll to ensure alignment and data accuracy</li><li>Review and reconcile monthly carrier invoices; research and resolve discrepancies in coordination with Finance and vendors</li><li>Manage the annual catch-up contribution process and support ongoing retirement plan maintenance, including compliance testing and audits </li></ul>Leave of Absence (LOA) Administration <ul><li>Serve as the primary HR liaison with the third-party administrator (TPA) overseeing leaves of absence and disability programs</li><li>Ensure accurate and timely processing of all employee leaves under FMLA, CFRA, PDL, ADA, state programs (e.g., CA SDI/PFL), and company policies</li><li>Audit and reconcile LOA data between the TPA, HRIS, and Payroll systems to maintain compliance and correct pay or benefit continuation errors</li><li>Partner with managers and HR Business Partners to track return-to-work dates, disability accommodations, and any required extensions or updates</li><li>Provide training and guidance to HR team members and managers on LOA procedures and best practices </li></ul>Compliance &amp; Audit Oversight <ul><li>Maintain in-depth knowledge of DOL, ACA, COBRA, HIPAA, ERISA, FMLA, ADA, CFRA, and other applicable regulations</li><li>Coordinate annual compliance filings, including Form 5500, ACA reporting, and nondiscrimination testing</li><li>Review plan documents, SPDs, and vendor communications for compliance and accuracy</li><li>Serve as the main point of contact during internal and external audits related to benefits or leave programs</li></ul>Employee &amp; Vendor Support <ul><li>Provide high-level support to employees and managers regarding benefit eligibility, coverage, claims, and leave questions</li><li>Partner with carriers and the LOA TPA to resolve employee issues promptly and accurately</li><li>Ensure consistent and professional communication to employees on benefits and leave programs</li><li>Maintain detailed documentation and case tracking for all employee inquiries and resolutions </li></ul>Analytical &amp; Reporting Responsibilities <ul><li>Prepare and analyze benefits and LOA utilization data, identifying trends and recommending improvements</li><li>Maintain dashboards, audit logs, and metrics to track accuracy, timeliness, and vendor performance</li><li>Support Finance and leadership with cost analysis, billing allocation, and reporting needs</li><li>Identify and implement process improvements to increase efficiency and compliance</li></ul>Collaboration &amp; Support <ul><li>Support the Sr. Manager, Total Rewards &amp; HR Operations, in the annual benefits renewal, open enrollment, and vendor evaluation processes</li><li>Assist in the preparation of employee communications, training materials, and process documentation related to benefits and leave programs</li></ul><h2>What you can contribute:</h2><ul><li>Bachelor’s degree in Human Resources, Business Administration, or a related field required</li><li>A minimum of 8 (eight) years of progressively responsible experience in benefits and leave administration</li><li>Hands-on experience with ADP Workforce Now required; experience with integrated TPA file feeds strongly preferred</li><li>In-depth knowledge of employee benefits, leave programs, and compliance regulations (ERISA, ACA, COBRA, HIPAA, FMLA, ADA, CFRA, PDL, etc.)</li><li>Strong analytical, auditing, and reconciliation skills with proven data accuracy and process improvement results</li><li>Exceptional attention to detail, organization, and documentation skills</li><li>Advanced Excel skills (pivot tables, VLOOKUPs, complex formulas) and proficiency with MS Office Suite</li><li>Excellent written and verbal communication skills with the ability to handle sensitive information discreetly</li><li>Analytical and data-driven approach to problem-solving</li><li>High integrity and commitment to confidentiality</li><li>Process-oriented with a focus on accuracy and compliance</li><li>Strong collaboration and vendor management skills</li><li>Proactive and self-directed with the ability to manage multiple priorities effectively</li></ul><h2>You may also be able to contribute:</h2><ul><li>Experience supporting benefits strategy or design initiatives preferred but not required</li></ul>  <div><div><div>Base pay offered may vary depending on skills, experience, job-related knowledge and location.
